{"id":14,"date":"2022-12-13T15:51:59","date_gmt":"2022-12-13T15:51:59","guid":{"rendered":"https:\/\/www.citadel.edu\/beach-club\/?page_id=14"},"modified":"2023-09-05T16:03:07","modified_gmt":"2023-09-05T16:03:07","slug":"venue-rules","status":"publish","type":"page","link":"https:\/\/www.citadel.edu\/beach-club\/venue-rentals\/venue-rules\/","title":{"rendered":"Venue Rules"},"content":{"rendered":"\n<h2 class=\"wp-block-heading\" id=\"h-review-the-venue-rules\">Review the Venue Rules<\/h2>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\" \/>\n\n\n\n<div class=\"wp-block-coblocks-accordion\">\n<div class=\"wp-block-coblocks-accordion-item\"><details><summary class=\"wp-block-coblocks-accordion-item__title\">Reservations<\/summary><div class=\"wp-block-coblocks-accordion-item__content\">\n<p>For groups desiring to rent The Citadel Beach Club for an upcoming event:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>External groups &#8211; please submit a <a href=\"https:\/\/www.citadel.edu\/events\/external-events\/venue-request-form\/\"><strong>Venue Request Form<\/strong><\/a><\/li>\n\n\n\n<li>Internal groups &#8211; please submit an <a href=\"https:\/\/ems.citadel.edu\/VirtualEms\/Default.aspx\"><strong>EMS Reservation<\/strong><\/a><\/li>\n<\/ul>\n\n\n\n<p>Submission does not guarantee permission for use of The Citadel Beach Club. Please wait for a confirmation email from the Office of Event Management.<\/p>\n<\/div><\/details><\/div>\n\n\n\n<div class=\"wp-block-coblocks-accordion-item\"><details><summary class=\"wp-block-coblocks-accordion-item__title\">Beach<\/summary><div class=\"wp-block-coblocks-accordion-item__content\">\n<p>Lifeguards are not provided. Guests swim at their own risk. &nbsp;<\/p>\n<\/div><\/details><\/div>\n\n\n\n<div class=\"wp-block-coblocks-accordion-item\"><details><summary class=\"wp-block-coblocks-accordion-item__title\">Animals<\/summary><div class=\"wp-block-coblocks-accordion-item__content\">\n<p>Pets are not permitted inside The Citadel Beach Club or on the property. All service animals are welcome!<\/p>\n<\/div><\/details><\/div>\n\n\n\n<div class=\"wp-block-coblocks-accordion-item\"><details><summary class=\"wp-block-coblocks-accordion-item__title\">Venue Access<\/summary><div class=\"wp-block-coblocks-accordion-item__content\">\n<p>The Citadel faculty, staff, students, CAA Lifetime Members, and donors at specific levels for The Citadel Foundation and The Citadel Brigadier Foundation are allowed access to the beach walkway, boat ramp, dock area, and the restrooms accessed from the exterior of the event venue. <\/p>\n\n\n\n<p>This access cannot be blocked, regardless of the rental event booked. All parties are expected to act with mutual respect and any issues should be promptly reported to the Office of Event Management.<\/p>\n<\/div><\/details><\/div>\n\n\n\n<div class=\"wp-block-coblocks-accordion-item\"><details><summary class=\"wp-block-coblocks-accordion-item__title\">Glassware<\/summary><div class=\"wp-block-coblocks-accordion-item__content\">\n<p>Glassware may only be used inside The Citadel Beach Club. Breakable items (i.e. ceramic, china) are not allowed on the patio, lawn, courtyard, or pavilion. A $250 fee will be charged per instance of broken glass.<\/p>\n<\/div><\/details><\/div>\n\n\n\n<div class=\"wp-block-coblocks-accordion-item\"><details><summary class=\"wp-block-coblocks-accordion-item__title\">Decorations<\/summary><div class=\"wp-block-coblocks-accordion-item__content\">\n<p>Nothing can be stapled, nailed, taped (i.e. scotch tape, command strips), or glued to the walls of The Citadel Beach Club. Rice, sparklers, flower petals, birdseed, confetti, fog machines, and open flames are not allowed. <\/p>\n\n\n\n<p>All rental items, decorations, and personal items must be removed after the event.<\/p>\n<\/div><\/details><\/div>\n\n\n\n<div class=\"wp-block-coblocks-accordion-item\"><details><summary class=\"wp-block-coblocks-accordion-item__title\">Furniture Setup<\/summary><div class=\"wp-block-coblocks-accordion-item__content\">\n<p>Furniture (i.e. banquet tables, chairs) is included but approved for <strong>indoor use only<\/strong>. Your must obtain permission from the Office of Event Management to move any tables and chairs to paved surfaces on the exterior of The Citadel Beach Club. No furniture is allowed on the lawn.<\/p>\n\n\n\n<p>All furniture will be set per the approved floor pan submitted within two (2) weeks prior to your event at The Citadel Beach Club.<\/p>\n<\/div><\/details><\/div>\n\n\n\n<div class=\"wp-block-coblocks-accordion-item\"><details><summary class=\"wp-block-coblocks-accordion-item__title\">Security<\/summary><div class=\"wp-block-coblocks-accordion-item__content\">\n<p>Security is required for all events with alcohol service. A minimum of one officer per 100 guests is required, and officers will be scheduled from the start of the event until 30 minutes after the event ends. Additionally, security may be required for large events or events deemed by The Citadel to be high risk when alcohol is not served.<\/p>\n\n\n\n<p>Security must be provided by off-duty Isles of Palms Police Officers for all events occurring at The Citadel Beach Club. You will book and pay security through the <a href=\"https:\/\/www.iop.net\/police\/hiring-duty-officer\">Isle of Palms Police Department<\/a>.<\/p>\n<\/div><\/details><\/div>\n\n\n\n<div class=\"wp-block-coblocks-accordion-item\"><details><summary class=\"wp-block-coblocks-accordion-item__title\">Food and Beverage<\/summary><div class=\"wp-block-coblocks-accordion-item__content\">\n<p>All food and beverage must be provided by an approved caterer of The Citadel. All alcoholic beverages must be supplied and served by The Citadel&#8217;s alcohol service contractor. <\/p>\n\n\n\n<p>Alcoholic beverages may not be served to minors or anyone appearing to be intoxicated. <\/p>\n\n\n\n<p>Alcohol may not be taken beyond the The Citadel Beach Club property (including the beach). Use of an unapproved food and beverage vendor will result in additional fees and immediate termination of the event.<\/p>\n<\/div><\/details><\/div>\n\n\n\n<div class=\"wp-block-coblocks-accordion-item\"><details><summary class=\"wp-block-coblocks-accordion-item__title\">Smoking<\/summary><div class=\"wp-block-coblocks-accordion-item__content\">\n<p>The use of tobacco and smoking products of any type is prohibited, in accordance with The Citadel&#8217;s <a href=\"https:\/\/web.citadel.edu\/root\/images\/policies\/2-014-tobacco-product-free-campus-policy.pdf\">Tobacco Product Free-Campus Policy<\/a>. This applies to the entire property, indoors and outdoors, of The Citadel Beach Club.<\/p>\n\n\n\n<p>Guests in violation of this policy may be removed and barred from the property. Violation of this policy may result in additional fees and\/or termination of the event.<\/p>\n<\/div><\/details><\/div>\n\n\n\n<div class=\"wp-block-coblocks-accordion-item\"><details><summary class=\"wp-block-coblocks-accordion-item__title\">Parking<\/summary><div class=\"wp-block-coblocks-accordion-item__content\">\n<p>All vehicles must be removed at the conclusion of the event. Vehicles that remain at The Citadel Beach Club, without permission from the Office of Event Management, are subject to ticketing and\/or towing at the owner&#8217;s expense. Overtime charges will be billed to you at the rate of $200\/hour.<\/p>\n<\/div><\/details><\/div>\n\n\n\n<div class=\"wp-block-coblocks-accordion-item\"><details><summary class=\"wp-block-coblocks-accordion-item__title\">Rental Time<\/summary><div class=\"wp-block-coblocks-accordion-item__content\">\n<p>The total rental time can be extended, with prior notice and payment, for $200 for the first hour and $50 for each additional hour. <\/p>\n\n\n\n<p>Vendors and guests are not allowed on The Citadel Beach Club property before or after the contracted rental time. <\/p>\n<\/div><\/details><\/div>\n\n\n\n<div class=\"wp-block-coblocks-accordion-item\"><details><summary class=\"wp-block-coblocks-accordion-item__title\">Deliveries<\/summary><div class=\"wp-block-coblocks-accordion-item__content\">\n<p>Deliveries and pickups must occur during the contracted rental time, unless approved in advance by the Office of Event Management.<\/p>\n<\/div><\/details><\/div>\n\n\n\n<div class=\"wp-block-coblocks-accordion-item\"><details><summary class=\"wp-block-coblocks-accordion-item__title\">Ceremony<\/summary><div class=\"wp-block-coblocks-accordion-item__content\">\n<p>Wedding ceremonies performed on the grounds of The Citadel Beach Club allow an additional hour of rental time and 90 minutes for a rehearsal. Rehearsal times will be scheduled based on availability and confirmed 30 days before the event. <\/p>\n\n\n\n<p>A ceremony fee of $600 is assessed for this service.<\/p>\n<\/div><\/details><\/div>\n\n\n\n<div class=\"wp-block-coblocks-accordion-item\"><details><summary class=\"wp-block-coblocks-accordion-item__title\">Noise Ordinance<\/summary><div class=\"wp-block-coblocks-accordion-item__content\">\n<p>To learn about current noise ordinances, contact the <a href=\"https:\/\/www.iop.net\/\">City of Isle of Palms<\/a> at (843) 886-9912.<\/p>\n\n\n\n<p>A violation of these requirements may subject the client, vendors, and guests to a fine and court costs. The Citadel reserves the right to end events prior to the contracted end time in the case of warnings or violations.<\/p>\n<\/div><\/details><\/div>\n\n\n\n<div class=\"wp-block-coblocks-accordion-item\"><details><summary class=\"wp-block-coblocks-accordion-item__title\">Weather<\/summary><div class=\"wp-block-coblocks-accordion-item__content\">\n<p>Rentals are confirmed rain or shine.<\/p>\n\n\n\n<p>Should hazardous weather occur, The Citadel reserves the right to mandate taking shelter, stop alcoholic beverage service, and\/or terminate music until weather is deemed no longer a threat, or require quests to evacuate. The Citadel reserves the right to cancel events upon receipt of a National Weather Service advisory indicating a potential threat to the South Carolina coast.\u00a0<\/p>\n\n\n\n<p>In the extreme case of cancellation by The Citadel due to a weather emergency, all efforts will be made to reschedule the event. The Office of Event Management will communicate any necessary event changes or cancellations due to a weather emergency.<\/p>\n<\/div><\/details><\/div>\n\n\n\n<div class=\"wp-block-coblocks-accordion-item\"><details><summary class=\"wp-block-coblocks-accordion-item__title\">Vendors<\/summary><div class=\"wp-block-coblocks-accordion-item__content\">\n<p>All vendors providing services are required to possess a business license and proper insurance coverage. This vendor information must be on file with The Citadel at least 2 weeks before your event.<\/p>\n\n\n\n<p>For more information, contact the <a href=\"https:\/\/www.iop.net\/\">City of Isle of Palms<\/a> at (843) 886-9912.<\/p>\n\n\n\n<p>Specifications and requirements for any vendor using power, tenting or inflatable details, must also be included in the <a href=\"https:\/\/www.citadel.edu\/swain-boating-center\/wp-content\/uploads\/sites\/62\/Fillable-Form-Attachment-A-Venue-Worksheet.pdf\">Venue Worksheet<\/a> for approval by the Office of Event Management. Any unapproved changes or requests may result in additional fees or may not be accommodated or allowed to take place.<\/p>\n<\/div><\/details><\/div>\n\n\n\n<div class=\"wp-block-coblocks-accordion-item\"><details><summary class=\"wp-block-coblocks-accordion-item__title\">Cancellation<\/summary><div class=\"wp-block-coblocks-accordion-item__content\">\n<p>A executed Letter of Agreement and receipt of the non-refundable payment of $500 confirms your event date. <\/p>\n\n\n\n<p>There is a $250 fee to change the date after the Letter of Agreement is signed.<\/p>\n<\/div><\/details><\/div>\n\n\n\n<div class=\"wp-block-coblocks-accordion-item\"><details><summary class=\"wp-block-coblocks-accordion-item__title\">Event Planning<\/summary><div class=\"wp-block-coblocks-accordion-item__content\">\n<p>To ensure things run smoothly on the day of your event, we require a designated point-of-contact\/decision maker on the day of your event and a scheduled final walk-through with our onsite venue coordinator. <\/p>\n\n\n\n<p>A completed <a href=\"https:\/\/www.citadel.edu\/swain-boating-center\/wp-content\/uploads\/sites\/62\/Fillable-Form-Attachment-A-Venue-Worksheet.pdf\">Venue Worksheet<\/a> is required at least 2 weeks prior to your event.<\/p>\n<\/div><\/details><\/div>\n\n\n\n<div class=\"wp-block-coblocks-accordion-item\"><details><summary class=\"wp-block-coblocks-accordion-item__title\">Insurance<\/summary><div class=\"wp-block-coblocks-accordion-item__content\">\n<p>All rental parties are required to carry day-use liability insurance with coverage for alcohol liability (if alcohol is served). A Certificate of Insurance (COI) must be provided to the Office of Event Management at least 2 weeks prior to your event.
