Work Orders

The work order system and work order processing have been refined and continuing improvments are being phased in that will have a beneficial impact on our ability to deliver dependable and quality services.

Work order is a term frequently used in the facilities industry. It transforms a request for service into an action document for evaluating and completing the requested work. Work orders at the Physical Plant are created in a Computer Maintenance Management System (CMMS) known as MP2. This computerized system is used to track the progress of work orders from "customer request" through to completion.

When a customer submits a request for service by e-mail, snail mail or by telephone the Work Order Clerk in the Physical Plant must complete a computerized form in MP2. Before the form can be considered complete, the Work Order Clerk needs to obtain specific information from you. An alternative method of submission is the use of our WEB based work order system, WEBLINK where the requester enters the information. This will typically speed the process of the work request process. Please remember - Work orders for repairs in the Barracks must be submitted via the OS&D work order system unless it is an emergency. Emergency work orders for any campus facility including the barracks should be immediately called into the Work Order Desk (953-5093). No matter the method of submission the following information will be needed:

  1. Your NAME.
  2. Your TELEPHONE NUMBER.
  3. PRIORITY of the request
  4. The EQUIPMENT NUMBER - in our system this will complete the LOCATION  where the work is to be performed. These entries must be entered from a selection in the the drop down list. You cannot edit or add.
  5. A TASK DESCRIPTION of your request in sufficient detail to be acted upon. 

IMPORTANT

To enter WEBLINK you must first provide your user name (first 11 characters - example: Bill.Alexander, 9JonesR) and password. Citadel computer users are issued a Username that typically is their email username. The password for all users is initially set as WORKORDER (all caps). Once you have gained access to the system you may change your user information and password if you desire. However, if you wish to continue using the default password you may. If you do not have a username or have difficulty in accessing the system please contact Woody Weatherford@Citadel.edu for assistance.

After entering your username and password you will be taken to the Welcome to WEBLINK screen allowing you the opportunity to enter a Work Request by Equipment number, check on a previously entered request or change you user information. Note: Our system uses Equipment number designations for Locations on the campus.  This is not an error but by default of the CMMS method of reporting.

Select Enter a work request by Equipment number. You will be taken to the screen Enter a Work Request by Equipment Number. On this page you will need to select from the Equipment pull-down list the Location of the work to be accomplished, once a selection has been made the system will populate this field as well as the Description and Location fields. Making a selection from the Location pull-down  will not populate the Equipment field.  The Equipment field is critical to the proper completion of the Work Request.  Please move down to the Task Description field to describe your work request. Please be as descriptive of exactly your needs (who, what, when and where) including any critical time frame requirmenets.  Please include an account number for work that is chargeable. If necessary you may add additional information in the Comments section. Press the SUBMIT button and a summary of your request will be then presented including the Work Request number. If an error is made please send an email to Work Order Clerk or Work Administrator with the correct information. Please note the Work Request number for any future reference to this request. When complete click the Logout icon in the top left corner of the screen. You should receive confirmation of your work request back via email .

Work orders are prioritized in two categories based upon the information supplied by you.

Requests involving routine work that can be scheduled such as normal maintenance and repairs, equipment upgrades and upgrades of building appurtenances.
