In all cases, the Human Resources policies are intended to be consistent with the prevailing State and Federal laws and regulations. However, in the event the language contained in the Human Resources policies conflicts with State or Federal laws or regulations, the State or Federal laws or regulations will control.

The Citadel's Human Resources Department has the sole authority to interpret the Human Resources policies.

The Citadel offers various student employment opportunities on campus. All current Citadel students will be given preferences over students from other South Carolina colleges.
All on-campus student employment opportunities (work study and non-work study positions) will be advertised on the Student Employment Bulletin, the Human Resources website at www.citadel.edu/hr, and departmental bulletin boards.

TYPES OF STUDENT EMPLOYMENT
There are three types of Student employment:
The Federal Work Study Program
The Institutional Work Program (Non-Work Study)
Graduate Assistantships
The Federal Work Study Program
This federally funded program provides part-time employment for qualifying students. To qualify, you must be currently enrolled and have received a financial aid award that includes Federal Work Study employment eligibility. Since Federal Work Study (FWS) awards are based on need, the student must apply through the normal financial aid process. The Institutional Work Program (Non-Work Study)
This program makes funds available for student jobs on campus. These jobs are available in a variety of academic and administrative offices, and because the jobs are not federally funded like work study, all students are eligible. Graduate Assistantships
l ELIGIBILITY
Graduate assistantships are available for graduate students carrying a minimum of six credit hours each semester (not including summer semesters). These assistantships give students an opportunity to gain work experience while obtaining their degree. The student must be fully admitted and enrolled in a graduate program at The Citadel, be seeking a Master’s Degree, and maintain 3.0 GPA each semester.
l GRADUATE ASSISTANTSHIP APPOINTMENT
Appointments of all graduate assistants will be made by the Provost upon the recommendation of the department head or designated director/specialists. The Dean of the College of Graduate and Professional Studies assigns graduate student to work as assistants in various departments and activities for the next academic year. Initial assistant selection is made by the departments and activities.
If you are awarded a full assistantship, you should be available for work in your assigned department for twenty hours per week. Partial assistantships are available, in which assistants can work 10- 15 hours per week. Graduate Assistants are not allowed to work more than 20 hours per week. If you miss work, graduate assistant hours must be made up.

CLASSIFICATION OF STUDENT EMPLOYEES
Student positions are classified based on job duties and responsibilities. A student position may be hourly or salaried, based on the position number he or she is in. Position numbers are used for all employees at the Citadel and a position number must be available before a position is recruited and/or filled.
Position Types
l CS0001-CSXXXX = Cadet Student/College Student positions: Any current Citadel student is eligible for these positions.
l WS0001-WSXXXX = Work Study Student positions: Only Work Study qualified undergraduate and graduate students are eligible for these positions.
l GA0001-GAXXXX = Graduate Assistant positions: Only graduate students currently enrolled in a Citadel graduate program are eligible.
l ST0001-STXXXX = Salaried Temporary positions: Few students would qualify for these positions. Some graduate students would fall under this category however the positions are intended for temporary staff employees and/or non-cadet students.
l HT0001-HTXXXX = Hourly Temporary positions: Depending on the department, very few students would qualify for these positions. These positions are intended for temporary staff employees and/or non-cadet students.
Wage Rates
ALL WAGES ARE SUBJECT TO APPROVAL OF THE HUMAN RESOURCES DEPARTMENT. Wage rates are based on the classification of a position and job duties. The minimum and maximum wage rates are based on the classification of a position.
The initial pay rate for all newly hired, first year student employees is minimum wage, $5.15 per hour. If a student is employed continuously each semester, he or she may be able to receive pay increase. Pay increases must BE PRE-APPROVED by Human Resources.
**Cadet students are NOT allowed to work the first semester of their first year.

Pay Band 1
Based on work experience and length of time a person has occupied the same position, most position pay rates tend to be higher than minimum wage. However, if a student has no prior work history, initial pay rate will be $5.15 per hour, and if the job entails just performing clerical/administrative duties. If a job entails performing computer software/hardware maintenance, initial pay rates will start $5.50 per hour.
Pay Band 2
The initial pay rate for pay band 2 positions will be $7.25 per hour. Based on work experience, the pay rate may be higher than $7.25 per hour. However, a student with no prior work history will be paid the initial pay rate.

PAY BAND 2: Administrative Specialist I, Media Resources Technician (Multimedia)
Graduate Assistant Pay Rates
The standard pay rate for all graduate assistants is $10.00 per hour. Graduate assistants are not eligible for pay increases.

How HR Recruits and Hires for Student Positions

The Citadel Human Resources Department advertises all student jobs, except graduate assistantships. You may stop by the Human Resources Department to view a current listing of the bulletin, or you can visit our website at www.citadel.edu/hr.

Once you see a position that you are interested in and qualify for, complete an application and include a resume for each position of interest. Submit all application materials directly to Human Resources.
What happens next?
Upon receiving applications, the hiring departments begin the process of selecting  candidate(s) for student jobs. Department Heads, Managers, or Supervisors will notify Human Resources of their selection and submit requests to fills through One-Stop. Once the request is approved, the Temporary and Student Employment Coordinator will offer the candidate the job via e-mail or telephone. Hiring departments will be informed if a student accepts/declines employment.

Getting on the Payroll
In order to receive a paycheck, you must be entered into the payroll system. The first step is to complete required new hire paperwork before you begin work. Prior to your first day of employment, Human Resources will contact you to complete paperwork. Paperwork may be completed at the Human Resources Department or downloaded from the Human Resources website at www.citadel.edu/hr.
Remember that ALL paperwork must be completed in its entirety and brought to the Human Resources Department before your first day of work. WE WILL NOT ACCEPT FAXED COPIES OF ANY FORMS OR DOCUMENTS.
New Hire Paperwork
Each of the forms below must be completed thoroughly and returned to Human Resources before your first day of work. Failure to do so will result in termination of employment. An instruction sheet is included which will explain what sections to complete on all the forms. The Temporary Employment Policy may be kept for your reference and does not need to be turned in.

I-9 **   For employment verification, you must bring required documentation with you when you come to fill out your new hire packet. Page three of the I-9 form will give you a list of acceptable documents. You may bring one document from List A or one from List B AND one from List C. It cannot be two documents from the same list. ALL DOCUMENTS MUST BE ORIGINAL COPIES. NO FAXED COPIES ARE ACCEPTED.
Direct Deposit Form The Citadel now requires all employees to use direct deposit. The Direct Deposit Form is considered required paperwork and must be completed and returned to Human Resources with other required documents above.
Once all of your paperwork has been completed and no documents are missing, the Temporary and Student Employment Coordinator will enter your information into the payroll system. Failure to turn in all required paperwork within three business days of your hire date will result in termination.
Time Sheets
Internal time sheets may be obtained from the Financial Services Department website: www.citadel.edu/fins. Time sheets can be downloaded and printed from the FORMS section. Since all students abide by an Honor Code, he or she should also be honest in reporting their days and hours worked.

Paychecks
As hourly, temporary employees, you will receive your first paycheck a pay period behind. This means if you start on or before a pay day (for example, January 10 and a pay day falls on January 15) you will receive your first paycheck January 31. After the initial check, you will be paid semi-monthly.
You may pick up your first paycheck from your departmental secretary. After your initial paycheck, all pay will be directly deposited.
BENEFITS
Student employees are only eligible for worker’s compensation benefits. Worker’s compensation is for employees who injure themselves while employed. If you become injured and would like to file a claim for benefits, contact the Human Resources Department immediately to obtain information on coverage and filing processes.
TERMINATION OF EMPLOYMENT

Remember that you are a temporary employee and your employment may be terminated at any time. The Citadel is an employer-at-will and an equal employment opportunity employer.

If you decide to resign from your employment, notify your supervisor ahead of time. He or she will complete a Notice of Separation form and forward it to the Human Resources Department.
